The formula
Cost per mile is your total monthly cost divided by the miles you drove that month: fixed costs (truck payment, insurance, permits) plus running costs (fuel, repairs, tires, tolls, driver pay), divided by all miles, loaded and empty. The result is rounded to the nearest cent.
Your break-even rate is that same number: any load that pays less per mile than this loses money. If you set a target profit per mile, the rate you need is your cost per mile plus that target.
How to use it
- Pull last month's statements and enter what you actually paid in each box.
- Enter every mile you drove, including deadhead. Empty miles cost the same as loaded ones.
- Leave driver pay at 0 if you drive it yourself, but think about paying yourself a wage.
- Add a target profit per mile to see the rate to ask for on the next load.
